Challenge

As SEO and Content Manager at Torrens University Australia, I managed content updates across more than ten college websites, ranging from coursework to blog posts. The high volume of requests was becoming increasingly difficult to handle with the existing email-based system, which lacked structure and formal deadlines. This led to a backlog of priorities, particularly when urgent requests came in. The issue wasn’t with any individual but rather with an outdated process that needed to evolve to meet the growing demands of the university.

Solution: Introducing a centralised content hub

To resolve these issues, I developed a content hub using SharePoint, Microsoft Forms, and Power Automate. This new system streamlined requests with clear priorities and deadlines, while automated workflows improved communication and eliminated bottlenecks. Additionally, I created step-by-step guides that empowered content producers to handle smaller updates themselves.

The hub also provided tracking capabilities, helping us monitor requests and identify the most common tasks, such as course updates, blog posts, and event landing pages. This visibility allowed us to allocate resources more effectively and optimise our workflow.
