Background

At Torrens University, I was tasked with facilitating the migration of content to a new Sitecore website, specifically for the university’s course information. My role as SEO and Content Manager required me to ensure that all course content was up to date, structured properly, and ready for the migration. However, the content-gathering process was inconsistent, with various stakeholders submitting details in different formats, causing delays and inefficiencies.

The challenge: Unstructured and inconsistent content gathering

When I took on the project, there was no standardised method for gathering course information. Stakeholders from different departments provided crucial details—such as course descriptions, key facts, and testimonials—in various formats, creating bottlenecks and increasing the risk of missing or incorrect information. Without a clear, structured approach, the migration to Sitecore could have turned chaotic, with the potential for significant errors.

The solution: Developing a centralised course brief template

To address this, I developed a comprehensive course brief template, which standardised the process for content submission. The template outlined specific sections for all necessary information, including:

  • Course listing details (study type, duration, CRICOS code)
  • Course descriptions and learning outcomes, with character limits to ensure clarity
  • Testimonial sections with guidelines for image formats and resolutions
  • Structured fields for core and elective units
  • Fee and scholarship details for both domestic and international students

This template made it easy for stakeholders to provide complete and consistent content, ensuring that all required information was ready for auditing and migration.

The results: Improved efficiency and content accuracy

By implementing the course brief template, we saw immediate improvements:

  • Consistency: Content across more than ten college websites followed a uniform structure, reducing errors and missing information.
  • Efficiency: The template allowed for faster content gathering, as stakeholders no longer needed to figure out what information to provide.
  • Better auditing: With a clear format, auditing content before migration was easier, reducing the likelihood of errors when moving to Sitecore.
  • Smooth migration: The new template ensured the migration to Sitecore was streamlined, with well-structured and accurate content ready for deployment.

This project not only made the content migration smoother but also provided a foundation for maintaining up-to-date, consistent course content across the university.
